ОПИСАНИЕ ДОЛЖНОСТИ : 

As part of GIZ´s effort to be flexible, adaptable, and efficient as well as to become implementer of integrated solutions for global challenges, GIZ Armenia has established a project service unit with administrative and technical services to all projects within the GIZ Armenia portfolio. The Administrative Service Unit will be responsible for project level procurement, accounting, and grant management, logistics and facility management.
GIZ Armenia is looking for an Administrative Assistant to perform commercial, organizational and administrative tasks.

ОБЯЗАННОСТИ : 

- Organise and coordinate secretariat work and administrative services of all project affairs;
- Manage the filing system in line with GIZ filing rules;
- Ensure an efficient flow of information and effective communication within GIZ projects, GIZ office, and external partners;
- Assist with matters pertaining to procurement and contracting according to GIZ policies and standards;
- Initiate, conduct and document market research related to the small procurement of products and services;
- Communicate with service providers e.g. for catering, office supplies and maintenance;
- Support in contract preparation;
- Support in preparation of invoices/payment requests/receipts for payment (translation, collection of signatures);
- Administrative support in planning of travels (e.g., visa arrangement, travel insurance, transportation arrangement, hotel reservations, etc.);
- Support in preparation and calculation of travel settlement documents;
- Support in facility management;
- Support in inventory management;
- Check and report damage/defects in office furnishings and equipment to management and support with organising and following up on maintenance and repairs;
- Photocopy and scan documents as needed;
- Perform other duties and tasks as assigned by management.

ТРЕБУЕМАЯ КВАЛИФИКАЦИЯ : 

- Graduate degree in a relevant subject (equivalent to a Bachelor’s or Master’s degree), preferably in bookkeeping/ finance/ administration;
- At least 2 years’ professional experience in a comparable position, preferably in an international organization;
- Excellent working knowledge of MS Office (in particular Word and Excel);
- Very good command of Armenian and English, written and oral; German language skills are an asset;

REQUIRED SKILLS:
- Excellent organisational skills;
- Affection for working with figures and intuitive understanding for figures and data;
- Strong and keen customer and service-oriented attitude; trustworthy, reliable, responsible person;
- Excellent analytical, communication, problem-solving, team working and administrative skills;
- Ability to prioritize time-sensitive assignments;
- Willingness to upskill as required by the tasks to be performed. Corresponding measures are agreed with management.
